About the position

Main objective of this role

To gather and maintain information in the day to day running of the business to ensure that issues arising daily are managed and only escalated to the Area Manager if impossible to resolve without him.

Duties and Responsibilities :

Site Administration:

  • responsible for monitoring staff attendance by conducting the roll call and recording absenteeism daily and ensuring that backup staff is available.
  • ensure that staff members are wearing uniform and are also neat.
  • ensure that staff contracts and files are kept up to date and contain all the relevant information including certificates and medicals expiry dates.
  • ensure that she/ he manages backup transport.
  • manage PPE requirements and back up stock.
  • manage hours/leave and ensure that they are forwarded to payroll in time so that payroll can be able to fulfil its duties.
  • keep registers in which he/she will record and manage leave.
  • induct new staff into customer operation.
  • print and distribute payslips and assist staff with queries.
  • Shift postings for the day to be aligned (Day and Night)
  • handle all contracts, contract extensions and terminations of Head Office staff.
  • To arrange proper training sessions for all new employees as well as identify development training for existing staff.

Alignment of clients:

Registers :

Print out Timesheet Registers and Pay Query Forms liaise with the Payroll department.
Planning of Staff Shifts

  • Booking schedules weekly for required departments (to be sent out no later than Sunday)
  • Receiving headcounts from Monday - Sunday and booking staff according to these numbers
  • Send schedules out to various groups that follows these schedules

Replacement of staff in various departments (terminations, resignations, dismissals etc):

Maintaining our staff compliment is important, therefore we need to look to replace any heads we might lose to terminations etc.

Assist client with arrangements for transport:

Headcounts and locations for transport is important.
Assist client with License Renewals

  • Ensure that that all Drivers license and Pdp's are valid.
  • Arrange necessary license renewals

Manage and Handle Paperwork of IOD's on site :

  • Injuries on duty - Document to be printed and filled out in full
  • Should be handed to the employee with his/her ID Copy
  • In cases that are more severe where Paramedics must be called, ensure the IOD Form is filled out in full and handed over.
  • Copy of the IOD with all necessary documents to be sent to the HR Department.

Making sure all documentation required by the Client is on-site :

  • Employee File Packs

Dealing with all HR & IR issues/requests :

  • Employee Relations - Employment Certificates, Recommendations, UIF, Maternity, Leave etc
  • Implement Progressive Discipline
  • Union - Stop Orders, Meetings

Administration :

  • Capturing of Employees Hours Weekly and Monthly Timesheets
  • Receive hours from client.
  • Prepare Hours and check for irregularities.
  • Check on report for off days - compare off days with Leave Forms and make notes where needed
  • Once completed, send the approved sheets to the Payroll Department
  • Once the capturing is completed, capture all LEAVE DAYS taken by employees into the system as well
  • Notify Payroll Department that your hours are ready to be processed
  • Receive Payslips
  • Recon Payslips
  • Print out Payslips
  • Hand out Payslips
  • Put out Query Forms
  • Assess queries logged
  • Send all queries to payroll before Tuesdays.
  • Load on query sheet and liaise with Payroll Department, for processing and payment
