About the position

Job Purpose:
The Receptionist is responsible for the effective day-to-day management of the front desk, serving as the first point of contact for visitors, clients, and internal stakeholders, creating a professional and welcoming environment by ensuring all guests are greeted warmly, with an effective and positive attitude.
In addition the Receptionist provides essential administrative and clerical support to the business, contributing to the smooth and efficient operation of the office.

Key Performance Areas:

Guest Reception and Interaction:

  • Greet and welcome guests with a positive attitude as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office
  • Ensure reception area is tidy and presentable.
  • Provide basic and accurate information in-person and via phone/email.

Telephone and Correspondence Management:

  • Answering phones in a professional manner and routing calls, as necessary.
  • Answering, forwarding, and screening phone calls.
  • Receive, sort, and distribute daily mail/deliveries.
  • Managing the security and telecommunication system.

Administrative Support

  • Maintain office supplies inventory and place orders when necessary.
  • Assisting colleagues with administrative tasks.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and taking notes.
  • Performing ad-hoc administrative duties.

Skills and Competencies:

  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment (e.g., fax machines and printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.

Qualifications and Experience:

  • Matric
  • Additional certification in Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.

***Salary - R10,000.00 - R15,000.00 (Negotiable, based on skills, experience and in relation to current package)
