Purpose of the Role
We are seeking a meticulous and highly experienced Payroll Administrator to manage the end-to-end group payroll function across multiple entities. Managing a headcount of approximately 600 employees across weekly, bi-weekly, and monthly payroll cycles, the successful candidate will ensure absolute compliance, accurate reporting, and seamless system maintenance using Sage 300.
Key Responsibilities
- Payroll Processing & Administration
- Full function processing of group payroll for multiple entities (+- 600 employees) across weekly, bi-weekly, and monthly cycles.
- Capture, update, and maintain all master file payroll data on Sage 300.
- Generate, extract, and submit accurate weekly/monthly payment files and General Ledgers (GLs) to the accounting team.
- Release payslips via ESS (Employee Self-Service) and professionally resolve post-payment queries.
- Prepare annual bonus sheets, 13th-cheque structures, and coordinate the annual payroll calendar across all group entities.
- Statutory Submissions, Compliance & Tax
- Handle full Bi-Annual (EMP501) and Year-End tax submissions for the group using SARS eFiling and e@syFile (Validation, Reconciliation, and Submission).
- Generate and submit statutory monthly returns including EMP201, UIF, and UI-19 documentation.
- Manage monthly Provident Fund and Medical Aid reconciliations, scheduling, and new pay-point creations.
- Manage Bargaining Council data, council levies, compliance, and monthly reconciliations.
- Drive the COIDA (Workmen's Compensation) process: complete annual Return of Earnings, register/de-register entities, and secure valid Letters of Good Standing.
- Facilitate and support statutory audits including Department of Labour, SARS, and TERS audits.
- Injury on Duty (IOD) & Terminations
- End-to-end administration of Injury on Duty (IOD) claims on the CompEasy platform (WCL.2 forms, case tracking, and follow-ups until liability acceptance).
- Process exit payrolls for terminated employees, including final leave payouts, tax directives, medical/provident cancellations, and UI-19 generation.
- Year-End Roll-Over & Maintenance
- Manage financial year-end roll-over processes on Sage 300.
- Configure new pay periods, update medical aid bands/company contributions, and adjust GL structures as required for the new financial year.
- Update salary bands and prepare minimum wage increase sheets for management sign-off in accordance with relevant Sectoral Determinations.
Minimum Requirements
Experience & Education
- Matric / Grade 12 (Essential).
- Relevant Diploma/Certificate in Payroll or Human Resources (Strongly Advantageous).
- Minimum 5+ years of dedicated payroll administration experience.
- Must have extensive experience managing payroll for multiple entities with a headcount of 500+ employees.
Technical Skills
- Software: Proven, hands-on proficiency in Sage 300 (Sage VIP People / Premier) is non-negotiable.
- Systems: Strong working knowledge of SARS e@syFile, eFiling, and CompEasy.
- Excel: Advanced Excel skills (VLOOKUPs, Pivot Tables, and advanced data manipulation for recons and variance reporting).
Competencies
- Exceptional analytical and mathematical skills with high attention to detail.
- Strong knowledge of South African labour legislation, BCEA, and Sectoral Determinations.
- Ability to work under pressure and strictly adhere to tight processing deadlines.
