About the position
Our client, a well-established CMT Clothing Manufacturing company based in Durban, is looking to fill the position of Factory Administrator.
Purpose of the Role:
The Factory Administrator provides administrative, coordination, and communication
support to factory operations. The role ensures accurate production records, effective
client communication, smooth order administration, and reliable reporting, while
supporting production, quality, and delivery requirements within a CMT clothing factory.
Key Responsibilities:
Client Liaison & Communication:
- Act as the primary administrative point of contact between the factory and clients.
- Receive and communicate client orders, delivery schedules, and specifications to the factory team.
- Provide clients with regular production progress updates, delivery confirmations, and status reports.
- Communicate delays, risks, or issues to clients in a professional and timely manner.
- Coordinate client queries, feedback, and quality concerns with the Factory Manager and supervisors.
- Prepare documentation for client audits, inspections, and visits.
Production Administration:
- Capture and maintain accurate daily production data (cutting, sewing, finishing, packing).
- Prepare daily, weekly, and monthly production reports.
- Track work-in-progress (WIP), completed orders, and outstanding quantities.
- Ensure production worksheets, job cards, and line reports are correctly completed and filed.
- Support production planning through accurate record-keeping and reporting.
Order & Delivery Management:
- Maintain order files for each client and style.
- Track order quantities, delivery dates, and shipment readiness.
- Prepare delivery notes, packing lists, and supporting documents.
- Coordinate dispatches with transporters and internal teams.
- Confirm deliveries with clients and file proof of delivery.
Quality & Compliance Support:
- Record quality inspections, defects, and rework data.
- Assist with documentation for quality systems and buyer requirements.
- Support corrective action tracking and follow-ups.
General Factory Administration:
- Manage factory documentation, filing systems, and records.
- Assist with staff attendance records, leave forms, and overtime tracking.
- Support payroll and HR administration where required.
- Maintain stock records for trims, consumables, and stationery.
- Ensure confidentiality and accuracy of factory information.
Qualifications and Experience:
- Grade 12 Senior Certificate
- Certificate or Diploma in Administration, Office Management, or Production
- Administration (advantageous).
- 2-5 years' experience in an administrative role within a manufacturing or CMT environment.
- Experience liaising with clients or handling customer communications is essential.
- Knowledge of garment production processes is an advantage.

- Computer literacy (MS Excel, Word, email systems).
- Ability to work under pressure and manage multiple priorities.

- Office-based within a factory environment.
- May require extended hours during peak production periods.
