Position Overview
Responsible for gathering and managing procurement information to ensure the cost-effective purchase and timely delivery of spare parts to various sites.
Qualifications, Experience, and Technical Requirements
- Matric Certificate
- At least 3 years of experience in a similar procurement role
- Strong knowledge of construction plant, equipment, and spare parts
- Experience with SAGE Accounting is an advantage
Key Knowledge, Skills, and Competencies
- Understanding of construction equipment, earthmoving machinery, and crusher parts
- Familiarity with suppliers of various plant equipment
- Knowledge of procurement procedures and general ledger codes
- Awareness of company policies and procedures
- Proficiency in Sage Accounting
- Excellent English communication skills (reading, writing, speaking)
- Strong planning, organizational, prioritization, and time management abilities
- Ability to multitask and effectively manage daily workloads
- High attention to detail and accuracy, with the ability to work well under pressure
Roles and Responsibilities
- Obtain a minimum of three quotations from suppliers
- Select suppliers based on pricing and availability or utilize designated suppliers
- Enter supplier details and pricing into Sage Accounting and issue purchase orders
- Follow up with suppliers on delayed orders or incorrect parts and obtain estimated delivery dates for unavailable items
- Coordinate packaging and distribution of critical in-stock parts
- Arrange courier services for collection and delivery of spare parts
- Provide instructions to drivers for parts collection or arrange alternative transport when necessary
- Seek authorization for large purchases, major plant repairs, or unusual procurement requests
- Notify management if parts are not available nationally
- Manage online orders for lubricants with national delivery
- Handle administrative tasks related to order payments, invoice processing, quotation filing, and updating the supplier database
- Determine appropriate transportation methods for plant components based on size and weight, liaise with the Transport Coordinator, and obtain necessary approvals
- Support all aspects of parts and materials distribution, including loading, ensuring accurate capture of items, tracking receipts, and communicating delays or issues
