About the position
About the Role:
We are looking for a Senior Business Enabling Specialist to provide operational and administrative support for our IT teams. This role ensures smooth business operations, effective compliance, and strong stakeholder collaboration, supporting everything from travel and facilities management to financial administration and project tracking.
Key Responsibilities:
Travel & Health & Safety
- Manage travel arrangements, including requests and documentation.
- Coordinate daily, monthly, and periodic Health & Safety operations and report irregularities.
- Oversee medical surveillance compliance and reminders.
Facilities & Onboarding
- Report and coordinate facilities issues (HVAC, power, water, etc.).
- Support onboarding and offboarding processes, including first-day support, integration, and post-onboarding follow-up.
Business & Compliance Administration
- Administer offers, track resources and costs, and maintain quality documentation.
- Ensure compliance with IT methodology, ISO 9001, and internal audit processes.
- Maintain pipeline data and dashboards; assist in audit preparation.
Financial Administration
- Support financial reporting, budget tracking, cost allocation, and forecasting.
- Prepare and review financial documentation; manage headcount and rate adjustments.
Customer & Operational Support
- Liaise with internal customers regarding offers, budgets, and process updates.
- Maintain Confluence pages, purchase orders, and time administration tasks.
- Collaborate with other departments and provide stand-in support as needed.
RequirementsEssential Skills:
- Advanced Microsoft Office skills (Outlook, Excel, Word, PowerPoint, Teams)
- Strong experience with Jira and Confluence
- Solid business administration and finance knowledge
- Project management with the ability to handle multiple tasks
- Excellent communication, presentation, and stakeholder management skills
- Experience with travel, facilities, and vendor coordination
- Understanding of IT governance, compliance, and audit processes
- Highly organized, detail-oriented, and able to prioritize effectively
Advantageous Skills:
- Recruitment or HR administration exposure
- Portfolio/headcount and resource funnel management experience
- Marketing or communications experience
- Knowledge of IT operations, security, or architecture
- Change management and training coordination experience
- SAP or other finance systems experience
- Experience working in a hybrid office/home environment
