About the position
A stable manufacturing company is seeking a highly organised and detail-oriented Shipping Controller & Personal Assistant to join the team. This role is critical in managing shipping operations, export documentation, and providing full personal assistant support to the Sales Director. The successful candidate will have strong imports/exports experience, excellent administrative skills, and the ability to manage multiple projects and deadlines.
Key Responsibilities & Accountabilities
- Receipt, management, and oversight of all orders and projects
- Arranging and controlling all shipping activities
- Managing incoming shipments (HFB, LFD, etc.) and related paperwork
- Handling shipping queries and liaising with international clients and shipping agents
- Compiling invoices, job cards, packing lists, labels, shipping tags, and export instructions
- Processing updates and amendments to export documentation
- Maintaining, filing, and managing all export and shipping documents
- Managing client portals and updating PDM systems
- Compiling data books, manuals, and documentation packs
- Following up with the production department on job readiness and ensuring deadlines are met
- Providing full PA support to the Sales Director, including all administrative and secretarial duties
Qualification & Competency Requirements (Non-Negotiable)
- Secretarial experience
- Minimum of 5 years' experience in imports/exports administration and finance
- Proven supply chain and import/export experience
- Strong project management skills
- Computer literate with advanced Excel and Word proficiency
- Experience with Pastel / Sage
- Ability to manage multiple priorities with strong attention to detail
